The Privacy Policies Of The Top 50 Web Sites

The flurry of activity on the Internet indicates that consumers are embracing the online world whole-heartedly. But while all of this activity is generally a good thing, it also raises an important issue. What happens to all the information users divulge on a daily basis? Many people are starting to question what Web sites are doing to protect their online privacy. To give readers some idea of how sites are addressing the privacy issue, we examined the privacy policies of 50 leading sites. At the time we went to press, research firm Media Metrix listed these sites as the 50 most popular ones on the Internet. Here's what we found.

What Sites Gather.

The information that sites gather typically falls into two categories: anonymous and personal. Anonymous information is collected automatically using cookies, small files that are deposited on a user's hard drive and that are accessed every time a user returns to the site. They keep track of user patterns, such as how often a user visits certain areas of a site, and general computer information, such as the user's IP address, and type of browser and operating system.

Personal information is that which is given voluntarily by you, the user. It can range from simple contact data to credit card numbers and personal reading preferences, depending on how much data you are willing to give and what you are asking the site to deliver. Most sites don't require that you give personal information, but not doing so will limit the amount of activities you can participate in and the services and products you can receive.

Using Your Data.

This will vary from site to site, but for the most part, sites use personal information to make you a registered member and to provide you products or services. Sites often use demographic and personal preference data to personalize what you see on-screen. This data also is required to order, deliver, and bill for goods and services. Many sites and their business partners will use your personal contact information to communicate with you by e-mail or postal mail—or both, unless you specify otherwise.

Sites use anonymous information about user trends and computers to tailor their content to suit the needs and interests of their visitors. This data also helps businesses improve their sites and solve technical problems.

Sharing Data.

Be sure to check the chart on the following pages for information on how sites share data because each site handles this category a little differently. Most sites don't sell or trade or otherwise give personal information to outside parties without your consent. However, many give your information directly to their business partners who provide the service or content in which you are interested. For example, personal information required for e-mail service with Infospace.com goes directly to that service provider, iName.

Advertisers are given anonymous, collective user trend and demographic information.

Most sites remind you that your personal information will be shared with the proper authorities if the law requires it or if they have reason to believe that keeping that information private would harm the user or someone else. In addition, users are generally warned that they are personally responsible for whatever information they give on message boards and in chat rooms and other such environments.

Take Control.

Every time you give information, the site should allow you to opt in or opt out of having your contact information sent to business partners and other third parties and advertisers. You also should be informed as to how you can change or update your account information and how, if possible, you can delete your information altogether. Be aware that clicking on an ad, participating in a contest or sweepstakes, or asking to receive mailings or newsletters from one or more organizations will be considered by some sites permission to share your information.

Privacy Organizations.

Many sites are members of TRUSTe , a nonprofit organization that provides its seal of approval to any site whose privacy policy meets their standards. According to TRUSTe's Web site, when users visit a site with the TRUSTe symbol, the site should disclose the following information:

•What personal information is being gathered about you

•How the information will be used

•Who the information will be shared with, if anyone

•Choices available to you regarding how collected information is used

•Safeguards in place to protect your information from loss, misuse, or alteration

•How you can update or correct inaccuracies in your information

To learn more about TRUSTe, visit its Web site at http://www.truste.org.

Some sites are also members of the Better Business Bureau Online (BBBOnLine) Privacy program (http://www.bbbonline.com), which provides, among other things, settlement of customer disputes, disciplinary action against noncompliant members, and a seal of approval for those businesses that meet their "required core principals."

You can read more about the TRUSTe and BBOnLine organizations and others like them on page 134 of this issue.

Earning Your Trust.

You will find that most sites are making an effort to post a privacy policy that will ease their user's minds. Of the 50 we looked at, only one didn't have a listed privacy policy, and 18 weren't members of an online privacy organization. Ultimately, though, the burden of protecting your privacy falls on you. If you pay careful attention to practices and policies and share personal information wisely, you'll be able to enjoy the Internet with peace of mind.
